Terms & Conditions

ES Camps

ES Enterprise Solutions DMCC, hereby referred to as “ES Camps”, has developed and implemented the following terms and conditions to ensure a positive experience for all our Agents.

Acceptance of Enrolment

ES Camps will acknowledge your interest within 24 hours (Monday to Friday) from the time of your application or request. ES Camps will only issue the final confirmation of acceptance upon receipt of the signed agreement, issued by our Camps Admissions team.

Payment Policy

Once the group is confirmed by the Agent, ES Camps will proceed to charge 20% of the amount invoiced for the selected camp programme as a non-refundable deposit.

To support Agent Partners, ES Camps has adopted payment installment procedure. The payment procedure will be as per the following conditions:

  • 20% of the amount invoiced should be paid by the Agent to ES Camps 70 calendar days before the camp programme start day, as per the confirmation letter.
  • 30% of the amount invoiced should be paid by the Agent to ES Camps 45 calendar days before the camp programme start day, as per the confirmation letter.
  • 30% of the amount invoiced should be paid by the Agent to ES Camps 30 calendar days before the camp programme start day, as per the confirmation letter. 

If the final payment is received less than 30 calendar days prior to the start date (as per the confirmation letter), ES Camps has the right to defer the start date of the programme as ES Camps cannot guarantee the availability of the requested dates. The invoiced amount can be paid through a bank transfer. ES Camps is not responsible for any of the bank charges; the invoiced person, company, or agent must assume all of them.

NOTE: The full payment for the selected camp programme by the Agent must be made 30 calendar days prior to the start date of the confirmation letter.

Cancellation Policy

ES Camps defines “cancellation” as a change occurring before the confirmation letter start date. The following refund policies are in effect for all cancellations sent via email to the concerned ES Camps Advisor.

Enrollment fees, non-refundable deposits, bank fees, courier fees, booking fees, visa fees, pre-paid excursions, pre-paid accommodation, insurance, admin fees, and third-party fees (agent commission) are non-refundable fees. The processing of the refunds will be within 60 calendar days and based on the following terms:

  • Upon receiving the cancellation request 30 calendar days prior to the camps programme start date as per the confirmation letter, 100% of the amount paid will be refunded (except any non-refundable fees).
  • Upon receiving the cancellation request 15 to 29 calendar days prior to the camps programme start date as per the confirmation letter, 50% of the amount paid will be refunded (except any non-refundable fees).
  • Upon receiving the cancellation request 8 to 14 calendar days prior to the camps programme start date as per the confirmation letter, 20% of the amount paid will be refunded (except any non-refundable fees).
  • No refund will be provided for any cancellation request received after any of the above-mentioned time frames. 

Withdrawal Policy

ES Camps defines withdrawal as the termination of a camp programme after it has started. Any withdrawal must be made in writing to the ES Camps admissions team to arrange the cancellation process in time before the student’s last day. Furthermore, camp programmes are neither transferable nor exchangeable for any other services, such as accommodation and social activities, among others. Withdrawals have a no-refund policy.

Start Date

It may be possible to defer the start date of the camp programme selected by the Agent if ES Camps gets a written notice 30 calendar days prior to the start date as per the confirmation letter.

Attendance and Punctuality

Students are required to attend and be on time for all elements of their camp programme. Failure to attend or be late for any part of the camp programme without submitting written permission from a parent or guardian may result in the student being expelled from the camp. Expelled students will not be compensated for missed lessons and activities or any other service provided during the camp programme itinerary.

Supervision

Students must be supervised by their group leader all the time. Any misbehaviour or lack of discipline from the student during the camp programme will be flagged directly to the group leader; more than two flags may result in the student being expelled from the camp.

It is not the responsibility of ES Camps or any of their members to supervise the students outside of the camp programme itinerary.  

Classes and Course Materials

Open enrolment classes start every two weeks on Monday. If a mid-week arrival (groups only) is approved, the group will be integrated into international lessons either the next day or the following Monday, depending on availability and booking dates.

All courses include a free entry assessment prior to arrival as well as a final academic assessment at the end of their course, which will culminate with a completion certificate at the end of their studies.

Classes are not delivered on public holidays.

If the student misses any classes during the week, ES Camps holds no responsibility to refund or compensate for the same in any form.

Course fees are inclusive of a student course book and study materials.

Amendment Policy

ES Camps reserves the right to change prices, cancel or change courses, amend timetables at any time prior to enrolment, and make additions or amendments to these terms and conditions by giving written notice to all affected parties. 

Jurisdiction

Any dispute arising out of these Terms and Conditions or any matters arising out of or in connection with the Agreement signed by the Agent and ES Camps will be governed by the laws of England and Wales, and the parties submit to the exclusive jurisdiction of the courts of England and Wales to determine all such matters and/or disputes. 

Publicity Materials

Permission is given by the student, their parents, or guardian with acceptance of these terms and conditions to use student comments, opinions, images, or videos, whether produced by ES Camps or by nominated third parties, in promotional materials of ES Camps or its subsidiaries. Parents and/or legal guardians will be asked to grant permission as per the Marketing Consent Form during their child’s admissions process.

Liability

ES Camps shall not be liable under any circumstance for its failure to provide any services whatsoever if that failure is caused directly or indirectly by circumstances beyond the camp programme control as a  Force Majeure cause, for clarity, Force Majeure means any circumstance not within ES Camps’ reasonable control including, without limitation, flood, drought, storm, earthquake, or other natural disaster, epidemic or pandemic (including any laws, regulations or government guideline arising or changing as a result of the same), terrorist attack, protest, civil commotion, or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, travel ban or breaking off of diplomatic relations, nuclear, chemical, or biological contamination or sonic boom, any law or any actions taken by a government or public authority, collapse of or damage to buildings, fire, explosion, leak or accident, and interruption or failure of utility services.

ES Camps is not liable if the student/s cause any damage to the facilities used during the camp programme, whether intentional or not, and this will be charged to the parties responsible for the student/s.

Students in residential accommodation are jointly and severally liable for shared facilities, and ES Camps reserves the right to recover costs for damage and exceptional cleaning.
